Essential Duties and Responsibilities include the following: - Edits orders received for completeness, price and nomenclature. - Informs customer of unit prices, shipping date, cube of orders, anticipated delays and any additional order information needed by customer. - Advises customers on product information, use of spare parts. - Enters data into computer (also spreadsheets) to determine total cost for customer. - Records or files copy of orders received according to expected delivery date. - Checks inventory control and notifies stock control departments of items that would deplete stock. - Routes orders to departments for filling and follows up on orders to ensure delivery by specified dates. - Prepares shipping documents such as packing lists, customs export docs etc. - Recommends type of packing or labelling needed on order. - Expedites shipment through freight forwarders, shipping companies incl. urgent / fix deliveries, forwarding any special delivery instructions. - Routes and quotes air & ocean shipments (LCL & FCL) through freight forwarders. - Resolves pricing issues, arranges quotations / special quote requests. - Close interaction with European Sales Reps on various customer issues. - Receives and checks customer complaints. - Processes Authorization For Returns (AFR's) for customers. - Confers with shipping, warehouse or carrier personnel to expedite or trace missing or delayed shipments. - Processes personalized orders (e.g. trays with logo) to Production, Planning and Silk Screen departments. - Attempts to sell additional merchandise to customer. - Understands the language of International Business, including Incoterms, Letters of Credit, Proforma Invoices, Cash Against Documents and Certificate of Origin. - Assists with collection of money on past due accounts by communicating with customers directly; focus on Frenchmarket. - Records information on collection efforts.

Orderplanning (Export/Import) en de informatie overdracht verzorgen alsmede gegevens controleren en administratief verwerken. - Draagt zorg voor tijdige beschikbaarheid van het materieel (vraagt tankcontainers aan bij de afdeling Transport), beoordeelt de aard van de lading en deelt transporten in danwel brengt deze elders onder. - Neemt de klant- en/of export/import gegevens in ontvangst en legt dossiers aan. - Controleert dossiers en aangeleverde gegevens op juistheid en volledigheid. Onderneemt gericht actie ( intern/ extern ) bij onvolledigheden om het dossier volledig te maken. - Vult ontbrekende gegevens in, legt gegevens vast in het betreffende dossier en verzendt deze naar dienstverleners/klanten. - Verzorgt de documentatie met betrekking tot de export/import zendingen en verstrekt informatie aan in-extern belanghebbenden, zoals verschepingsdetails, vervoersinstructies en pre-alerts. - Informeert klanten en/of andere relevante instanties en derden m.b.t. de laad instructies van een transport. - Stemt, indien van toepassing, de volgorde van het verrichten van werkzaamheden af met de Teamleader Export/Import, rekeninghoudend met het productieproces ( levertijden ) van het transport. - Legt de voortgang van de opdracht vast en rapporteert hierover aan de Teamleader Export/Import. - Verkrijgt en verstrekt in-en extern informatie voor de dagelijkse planning. Resultaat: Orderplanning verricht, adviezen en ondersteuning gegeven en informatie overgedragen, zodanig dat de uitvoering van orders volgens richtlijnen en procedures is gerealiseerd, onregelmatigheden zijn gecontroleerd en/of opgelost, dat er ingespeeld kan worden op ontwikkelingen, relevante betrokkenen beschikken over de juiste informatie en Export/Import gegevens correct en tijdig administratief verwerkt. 2. Bijzonderheden controleren en signaleren met betrekking tot de orderplanning (Export/Import). - Signaleert ontwikkelingen, mogelijkheden en problemen in relatie tot het werkgebied en reageert hier pro-actief op. - Ziet toe op een doelgerichte voortgang en kwaliteit van de werkzaamheden. Verzamelt gegevens, signaleert onregelmatigheden en waarschuwt en/of neemt actie om eventuele problemen op te lossen en/of de kwaliteit te verbeteren. - Zorgt dat richtlijnen en procedures worden opgevolgd. - Plant controleacties in overleg met de Teamleader Export/Import. Resultaat: Controles verricht en bijzonderheden gesignaleerd, zodanig dat de planning volgens richtlijnen en procedures is gerealiseerd, onregelmatigheden zijn gecontroleerd en/of opgelost. 3. Administratieve afhandeling controleren en verzorgen. - Draagt zorg voor het opmaken en controleren van alle (transport)documenten. - Registreert de aankomst, vertrek en onregelmatigheden van en tijdens transporten en verzamelt andere relevante gegevens (zoals inkoopkosten etc.). - Bouwt, archiveert en beheert het volledige (transport)dossier op. - Verzorgt de opdracht tot externe douaneafhandeling. - Ervoor te zorgen dat de ontstaande kosten van de initiële opdracht overeenkomen met de werkelijke kosten op job niveau. Eventuele afwijkingen dienen aan de Teamleider te gemelde te worden. - Bereidt de facturatie en extra kosten voor en voert deze uit in samenwerking met de afdeling administratie. - Na voltooiing van de opdracht dient de Job Summary te worden geprint. - Het uitvoeren van, door het management noodzakelijk geachte werkzaamheden, buiten het aangegeven resultaatgebied.
